Our accommodation service ensures a smooth booking process for 3-star to 4-star hotels with stellar reviews, free breakfast, and accommodating 1 Adult per room for 2 nights. By filling out the hotel booking form and paying the service fee, 1000 USD, registered participants can book their desired accommodation. However, you need to follow the hotel’s check-in and check-out policy during your stay. To experience the best of South Asia Expo 2025, ensure the best accommodation with our service.

Terms of Our Hotel Reservation Service

We’ve made our hotel reservation service available for participants who register for the South Asia Expo 2025 in Canada. To ensure a fair and equitable experience for all participants, we have come up with some terms and conditions for our service. Please read the following terms and conditions before booking our service:

Booking Time

Whoever wants to use our hotel reservation service needs to register for our Expo first. After completing the registration process, they need to book as early as possible to reserve their booking. We recommend booking at least 02 months before the beginning of the expo.

Payment & Cancellation

A full payment of 1000 US dollars is required to secure our hotel booking service accommodation. Once you complete the booking, you cannot cancel it without notice. After requesting a cancellation with a 7-day notice, you’ll receive a safety refund of 500 USD in your account.

Personal Information Handling

All personal information you provide while booking our hotel accommodation needs to be true and accurate. In order to protect your privacy, we maintain a strict security policy. To ensure your reservations, we only share your information with the hotels’ trusted authorities.

Hotel Range and Quality

We’ve carefully selected 3-star to 4-star hotels known for their excellent customer reviews and exceptional hospitality services. Since these hotels have been chosen based on their quality, comfort, and guest satisfaction, we believe you’ll have the most enjoyable experience while staying at one of these hotels.

Room Accommodation

Your room will be allocated based on availability and may vary in size or features depending on the hotel you select. We always try to provide comfortable rooms that meet your needs, but specific room preferences cannot always be guaranteed. Your stay is limited to two nights starting from your arrival date.

If you have specific requests or require special accommodations due to disabilities or health conditions, please communicate these needs clearly before starting the booking process. To ensure we can provide the necessary support, you need to provide as much detail as possible about your specific requirements.

Check-in and Check-out

Guests are required to follow the check-in and check-out times policy set by the respective hotel. These times may vary depending on the specific hotel policies. Any requests for early check-in or late check-out are subject to availability and may require additional charges.

Identification

To ensure security, some hotels may ask for a valid identification document at the time of check-in. So, you need to carry your government-issued identification, such as a national identification card, passport, or driving license, with you during your stay. Additional Fees and Charges

Please be aware that any additional services, such as room service, mini-bar amenities, or other hotel provisions, are not included in the booking fee. So, they will be charged separately from your booking service. Additionally, participants need to pay a 500 USD refundable deposit upon check-in.
